1. The guest applies for reimbursement for their cancellation.
2. The request is reviewed by Worry-Free Bookings.
3. If approved, the guest is refunded by the property, who is then reimbursed in turn.
The guest selects the Travel Protection option(s) at the time of booking.
If the guest experiences an unexpected circumstance such as an illness, injury, or delayed flight...
Then the guest requests a refund using the link on their booking confirmation email.
The request is reviewed by the Worry-Free Bookings™ support team.
If approved, the booking is automatically cancelled and the guest's credit card is refunded by the property.
Worry-Free Bookings™ then gives your property a refund via your payment method on file.

When a guest makes a reservation and selects any of your Travel Protection options, a Travel Protection fee is added to your total booking cost. Depending on the Travel Protection options selected at the time of booking, the Travel Protection fee extends the Terms and Conditions of the individual booking to provide up to a 100% reimbursement minus the Travel Protection fee if an unforeseen illness or health condition, adverse weather condition involving rain or snow, or other travel delay occurs 24 hours, 2 days, or up to 14 days prior to the arrival date, which prevents you from attending or completing your booking. The Travel Protection terms and conditions varies depending on the options selected at the time of booking and may not include all the options mentioned above. The full cost of the reservation is collected 14 days before the arrival date. When the guest pays the Travel Protection fee, your property's terms and conditions extend to reimburse your guest for unexpected cancellation reasons listed in the terms and conditions found in the Travel Protection section found in the reservation's booking confirmation email.
In most instances the time period protected is 14 days or fewer before the guest's arrival date and includes through their departure date. For certain travel delays and adverse weather circumstances the time period protected is 24 hours before your guest's arrival date through their departure date. In addition, the guest has up to 30 days after their departure date to apply for their refund.
Depending on the Travel Protection selected at the time of booking, your guests can apply for up to a 100% reimbursement for cancellation due to the following:
If your guests have to leave their stay early, their reimbursement is prorated for the nights they did not use the property.
If the cancellation request is more than 14 days before their arrival date, guests should contact the property for a refund. Your property's normal cancellation terms and conditions should apply. If the guest's request to cancel is less than 14 days before their arrival date, the guest should then click on the Travel Protection refund link found in the confirmation email from the property they made the booking with. This Travel Protection refund link then takes the guest to your property's Travel Protection refund request landing page. The guest should enter and confirm their contact information, select the reimbursement request reason, and attach/upload the required documentation to validate their reimbursement request.
No. Worry-Free Booking™ is additional Trip or Travel Protection for unexpected illness and medical conditions, adverse weather involving rain or snow, or other travel delays for you and your traveling guests. The best comparison is to consider it like a warranty you could purchase for an electronic device that offers additional protection beyond the manufacturer.
The Worry-Free Bookings™ support team reviews the application and the required proof of the unexpected cancellation reason and reimburses your travel purchase if the travel protection terms and conditions are met.
Yes and No, depending on the time period of the guest's arrival date. If more than 14 days before the arrival date the guest should contact the property to cancel directly. If less than 14 days before the guest's arrival date, they should click on the refund link found on their booking confirmation email sent from the property with which they made the booking.
Yes, if the arrival date is 3 weeks or more in the future. Just like with online bookings, the full cost of the reservation is collected 14 days before the arrival date. The guest will need to agree to the terms and conditions over the phone.
Yes. Your property refunds the booking total minus the Travel Protection fee, including taxes and retail items, to the credit card used to purchase the booking. If for some reason your property can not refund the guest's credit card, Worry-Free Bookings™ will send the guest a check for the booking total minus the Travel Protection fee.
Yes. In the event that the original credit card used for the purchase can not be reimbursed (like a gift card), the guest will receive a reimbursement via check.
No. Your guest will submit the request through the link in your property's confirmation email and include the required documentation. The Worry-Free Bookings™ customer support team reviews the request on behalf of the property. When approved, the reimbursement is made to the guest's credit card used to purchase the booking.
The email confirmation link provides the guest with additional security and protection of their private information. Your guest will verify their booking by providing their last name, phone number, reservation number, and uploading the required documentation.
To verify the validity of the refund request, your guest will need to provide evidence or proof of the illness or medical condition, adverse weather involving rain or snow, or other travel delay. Your guest can submit a doctor's note, positive COVID-19 test, death certificate, or other documentation that clearly supports the reason for the request for reimbursement. The documentation or proof required varies depending on the reimbursement condition and request. The documentation is needed to show that the refund request is legitimate.
